Mail app for Windows: FAQs

Here are answers to some common questions about the Mail app.

How do I add my Outlook.com, Gmail, Yahoo! or other email accounts to Mail?

  1. On Start, tap or click Mail.

  2. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the top-right corner of the screen, move the mouse pointer down, then click Settings.)

  3. Tap or click Accounts.

  4. Tap or click Add an account, the type of account you want to add, and then follow the on-screen instructions.

Most accounts can be added with only your user name and password. In some cases, you’ll be asked for more details, which you can usually find on your email account’s website. If you want more details on how to add an Office 365 or Microsoft Exchange Server-based account to the Mail app, you'll find the info you need on the Office support website.

Some accounts can’t be added because they use POP (Post Office Protocol). For more info, see Using email accounts over POP on Windows 8 and Windows RT.

How do I remove an account?

  1. On Start, tap or click Mail.

  2. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the top-right corner of the screen, move the mouse pointer down, then click Settings.)

  3. Tap or click Accounts.

  4. Tap or click the account you want to remove.

  5. At the bottom, tap or click Remove account or Remove all accounts.

This removes the account from Mail, but doesn’t delete the original account or messages. You’ll still be able to get to them through a browser or other mail app. If you remove the account you used to set up Mail, that removes all of your accounts from Mail, Calendar, People, and Messaging.

Removing your Microsoft account (the account you use to sign in to Windows) is a different process. That account is required to use Mail, and removing it will remove all of your accounts from Mail, Calendar, Messaging, and People. You might want to stop downloading messages for that one account instead of removing it.

To stop syncing your mail

  1. On Start, tap or click Mail.

  2. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the top-right corner of the screen, move the mouse pointer down, then click Settings.)

  3. Tap or click Accounts.

  4. Tap or click the account you want.

  5. Under Download new email, tap or click Manual.

Why aren't I seeing messages I expect to see?

The first thing to try is to sync manually. Here’s how:

  1. On Start, tap or click Mail.

  2. Swipe up from the bottom edge.
    (If you're using a mouse, right-click within the app.)

  3. Tap or click Sync.

Here are a few more things you can do to start seeing messages that you think you should see but aren’t showing up.

To change your sync settings

  1. On Start, tap or click Mail.

  2. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the top-right corner of the screen, move the mouse pointer down, then click Settings.)

  3. Tap or click Accounts.

  4. Tap or click the account you want.

  5. Adjust any of these settings:

    • How often Mail downloads your email (from as they arrive to hourly, or manually).

    • How far back to go to get messages (from as short as the last three days to any time).

    • What content you want downloaded (email, calendars, contacts).

To add Mail to the lock screen

For best performance, add Mail to the lock screen so that it syncs even when you’re not using your PC. (This is required if you want to download items as they arrive.)

  1. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the top-right corner of the screen, move the mouse pointer down, then click Settings.)

  2. Tap or click Change PC settings.

  3. In Personalize, under Lock screen apps, and check if the Mail app is listed.

  4. If it’s not listed, tap or click the plus sign plus sign , and then tap or click the Mail icon Mail icon.

To sync a folder

To save time and space, Mail doesn’t automatically sync every folder. You must tap or click a folder to sync it. Once you’ve selected it, that folder syncs on the same schedule as your inbox for that account.

How do I create and manage folders?

  1. On Start, tap or click Mail.

  2. Swipe up from the bottom edge.
    (If you're using a mouse, right-click within the app.)

  3. Tap or click Folder options and then New folder.

    You can also create subfolders, rename, delete, and empty folders.

  4. To move messages to a folder, choose the message you want to move, open app commands, tap or click Move, and then tap or click the folder you want to move messages to.

How do I mark email as junk?

  1. On Start, tap or click Mail.

  2. Choose the messages you want to mark as junk.

  3. Swipe up from the bottom edge.
    (If you're using a mouse, right-click within the app.)

  4. Tap or click Junk and the messages will be moved to the Junk folder.

If you moved a message to Junk by mistake:

  1. Go to the Junk folder and choose the messages you want.

  2. Swipe up from the bottom edge.
    (If you're using a mouse, right-click within the app.)

  3. Tap or click Not junk and the messages will be moved to the inbox.

How do I change my signature?

  1. On Start, tap or click Mail.

  2. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the top-right corner of the screen, move the mouse pointer down, then click Settings.)

  3. Tap or click Accounts.

  4. Tap or click the account you want to change the signature for.

  5. Decide how you want to change your signature:

    • Set Use a signature to either On or Off.

    • If you’re using a signature, change the text.

At this time, there aren’t any options to add images or change font settings (like color or type) in your signature.

How do I change text color and font, and add links?

There are several options for editing your message, including changing the font type and text color, picking from a wide range of emoticons (also known as emoji) and adding links. The buttons for these stay out of sight until you need them, so you have more room to see your message. Here's how to get to those commands when you're writing a message:

  • With touch, swipe up from the bottom of the screen. If the touch keyboard is visible, the commands appear at the top of the keyboard. The commands also appear when you tap next to a word or other text, and then drag the handles to highlight it.

  • With a mouse, right-click. The commands also appear when you highlight text.

  • With a keyboard, press Windows logo key  Windows logo key+Z

To insert a link, tap or click More and then tap or click Insert link. To edit or remove an inserted link:

  1. Highlight the link you want.

  2. Swipe up from the bottom edge.
    (If you're using a mouse, right-click within the app.)

  3. Tap or click Edit link, Open link, or Remove link depending on what you want to do.

How do I send an email from an Outlook.com alias?

If you use aliases with your Outlook.com account, you can send email from any one of them.

  1. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the top-right corner of the screen, move the mouse pointer down, then click Settings.)

  2. Tap or click Accounts and then tap or click Outlook or Hotmail.

  3. If you've added aliases to your account, they'll appear under Preferred email address. Choose the one you want and you're done. Now, any message you send from your Outlook.com email address will show this alias as your email address.
