Calendar app help

With the Calendar app, you can see several calendars – including your work calendars – all at the same time, all in one place. To use Calendar, you'll need to sign in to your PC or the app with a Microsoft account. When you open Calendar, you'll see all events from your Microsoft account. To see events from other calendars, add the accounts to the Calendar app.

Note

  • If you change your time zone, you'll have to close the Calendar app and reopen it for the changes to take effect. To close the app, drag the app to the bottom of the screen and hold it there until the app flips over.

Add a calendar

  1. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the bottom-right corner of the screen, move the mouse pointer up, then click Settings.)

  2. Tap or click Accounts.

  3. Tap or click Add an account, tap or click the type of account you want to add, then follow the on-screen instructions.

Remove a calendar

Removing an account from Calendar doesn't delete the original account or events. You'll still be able to get to them through a browser or another calendar application.

  1. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the bottom-right corner of the screen, move the mouse pointer up, then click Settings.)

  2. Tap or click Accounts.

  3. Tap or click the account that you want to remove.

  4. At the bottom, tap or click Remove account.

Removing your Microsoft account (the account you use to sign in to Windows) will remove all of your accounts from Mail, Calendar and People, and you won't be able to use these apps. You might want to hide your calendar instead – you can see how to do this in the "Hide a calendar or change its colour" section further down in this article.

To remove your Microsoft account

If, for some reason, you actually need to remove your Microsoft account, here's how:

  1. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the bottom-right corner of the screen, move the mouse pointer up, then click Settings.)

  2. Tap or click Change PC settings.

  3. Tap or click Accounts, then tap or click Disconnect.

Add international holiday calendars

You can see your country or region's holiday calendar in Calendar if you have an Outlook.com account. To find out how to do this, see Add holiday or lunar calendars to Outlook.com.

See your calendar by day, week, month or in other ways

When you first open your calendar you'll see your events for the day against a background image that you can change.

What's next view of the Calendar app

To change the background image:

  1. Swipe in from the bottom edge to see the application commands.
    (If you're using a mouse, right-click within the application.)

  2. Tap or click Background, then tap or click Browse, pick the image you want, then tap or click Choose picture.

    If you want to use Calendar's original background image, open app commands, tap or click Background, then tap or click Use default.

Here's how to see a different view of your calendar:

  1. Swipe in from the bottom edge to see the application commands.
    (If you're using a mouse, right-click within the application.)

  2. Choose one of the options that you see on top of the screen – Day, Working week, Week, Month.

    The working week is from Monday to Friday.

Adding and deleting events

Adding an event

Here's the quickest way to add an event:

  1. Choose the date you want. You can get to a date quickly by tapping the down arrow next to the heading in your calendar as shown here.

  2. Tap or click an empty time slot in your calendar, grab the round handles at the top and bottom with your mouse or finger to adjust the duration, then add the required details.

    To add more info, tap or click the arrow in the box, then tap or click Add details. You can invite people, make this a recurring event or change your status.

If you can't find an empty slot, here's how you add an event:

  1. Swipe in from the bottom edge to see the application commands.
    (If you're using a mouse, right-click within the application.)

  2. Tap or click New.

  3. Enter the name, date, time and location of the event or meeting.

    If this is an event that repeats, tap or click Show more and then choose your option by tapping or clicking the How often box.

Delete an event

Here's how to delete an event:

  1. In the Calendar app, tap or click the event you want to delete.

  2. Tap or click the Delete event button on your screen.

Invite someone to an event or meeting

  1. Swipe in from the bottom edge to see the application commands.
    (If you're using a mouse, right-click within the application.)

  2. Tap or click New.

  3. Enter the date, time and location of the event or meeting.

  4. In the Who field, enter the names or email addresses of the people you'd like to invite.

    If you're creating a meeting from your Outlook account, you might be able to see when people are free or busy, and schedule a meeting according to their availability. To do this, tap or click Scheduling assistant. This is only available if your workplace uses Microsoft Exchange Server 2010, Microsoft Exchange Server 2010 SP1 or Microsoft Exchange Server 2013 Preview. Ask your network admin for this information.

  5. If you want to make this a recurring event, tap or click Show more and enter the required details.

  6. Tap or click the send invitation button Send invitation button .

See or hide birthdays

Here's how you can show or hide birthdays in Calendar:

  1. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the bottom-right corner of the screen, move the mouse pointer up, then click Settings.)

  2. Tap or click Options and under Birthday calendar, choose either Show or Hide.Show or hide the birthday calendar

Though you can't add birthdays directly to the Calendar app, there are other ways to see your contacts' birthdays.

Hide a calendar or change its colour

  1. Swipe in from the right edge of the screen, then tap Settings.
    (If you're using a mouse, point to the bottom-right corner of the screen, move the mouse pointer up, then click Settings.)

  2. Tap or click Options.

  3. Tap or click the calendar you want to change, then do the following:

    • Under the calendar name, change the setting from Show to Hide.

    • Under the setting, use the list to change the calendar colour.
