Clutter-free inbox

Here's how to keep your Outlook.com inbox clutter-free and organized using Filter, Sweep, Move to, and instant actions.

Filter

To filter your messages, tap or click View and then select one of the filter categories. For example, click Unread to see your unread messages, click Social updates to see messages that come from social networking sites like Facebook, or click Newsletters to find and clean newsletters out of your inbox.

Sweep

Use Sweep to delete or archive email messages from your inbox or other folders. You can choose to delete or archive all email messages, or all but the most recent, from one or more senders. You can also choose to block, delete, or archive future email messages from those senders.

To delete messages from a sender, select an email message from that sender in your inbox, tap or click Sweep, select the Delete option that works for you, and then click Sweep.

To archive messages, follow the instructions above, but click the down arrow next to Delete, and then tap or click Archive.

Move to

To move a few messages to another folder, select the email messages, tap or click Move to, and then tap or click the folder you want to send them to. You can even create a new folder during this process. Tap or click New folder, enter the name of the new folder, and then tap or click Enter.

To move all email messages from a sender to another folder, select a message, tap or click Move to, tap or click Move all email from, and then select the option that works for you. You can move all messages, or all but the most recent, from your inbox or other folders. Select the folder you want to send the messages to, and then tap or click Move all. You can also choose to automatically move future email messages from those senders.

Instant actions

With Outlook.com instant actions, you can flag messages for follow-up, delete them, or mark them as read with one click. You can also create and add your own instant actions, or remove the ones that you don't want.

To use instant actions, point to an email and then click the icon for the action you want. When you point to the icon you'll see text that tells you the action it corresponds to.

You can also customize instant actions. Click the Options icon Options icon, and then click Options. Under Customizing Outlook, click Instant actions and choose which instant actions you want to see when you're in your inbox.

If you don't want to see the instant actions, clear the Show instant actions check box.
